COLLECTING AND USING PERSONAL DATA OF CUSTOMERS, SUPPLIERS AND OTHER CONTRATORS
We would like to draw your attention to the fact that we will collect and use the personal data that you supply us with, because this is required in order to enter into and execute a potential agreement with you. That applies both to our (potential) customers and to parties from whom we purchase products and/or services.
If you are a (potential) customer of ours, we will use your data to be able to send a quotation to you, to be able to decide which specifications or requirements a delivery has to fulfil, to be able to deliver products, to be able to invoice for products and to be able to communicate smoothly and efficiently with you about the implementation aspects of the agreement.
If you are a (potential) supplier or other contractor, your personal data are also required in order to enter into and execute the agreement. In the event of procurement, these are required to be able to inform you which specifications and requirements a certain product or service must fulfil as far as we are concerned, to be able to send a quotation request, or to be able to place an order with you, to be able to pay your invoices and to be able to communicate smoothly and efficiently with you about other aspects of the agreement.
You are not obliged to provide us with your personal data. If you do not provide us with your personal data, or if this is insufficient, it is, however, possible that we will be unable to execute the activities mentioned above..
TRANSFER TO THIRD PARTIES
In connection with the execution of a potential agreement with you, it is possible that we have to pass on your personal data to parties which supply us with parts, materials and products, or that perform work at our instruction. We also use external server space for the storage of (elements of) our sales and purchase records, of which your personal data form part. For that reason, your personal data are supplied to our server space provider. We also use Microsoft Office and the related storage capabilities for emails and other files.
RETENTION PERIOD OF PERSONAL DATA
Quotations that are sent to you or that are received from you are kept in our system, unless you object to this and/or inform us in writing that you do not wish us to retain these. In addition, we observe the 7-year statutory period for the retention of our records; this is part of the retention obligation for the Tax Authorities.
You have the right to ask us to inspect your own personal data. If there is reason to do so, you can also ask us to add to your personal data, or to rectify inaccuracies. You also have the right to ask for your personal data to be deleted or to restrict the use of your personal data. You can also inform us that you object to your personal data being collected or used or you can submit a complaint to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Finally, you can ask us for a copy of your personal data or ask us to transfer that personal data to another party. You can contact us if you wish to exercise your rights.
